Terms and Conditions
Clear and transparent service terms help every HVAC project move forward safely, efficiently, and with a shared understanding between Comfortly Air Conditioning and our customers. These Terms and Conditions outline the responsibilities, expectations, and operational standards that apply when scheduling or receiving heating and cooling services from our team.
Comfortly Air Conditioning provides professional HVAC services to residential and light commercial customers throughout Palm Beach County, including Wellington, Boynton Beach, Boca Raton, Delray Beach, Westlake, and surrounding communities. Our team brings more than 15 years of field experience to every service call, whether it involves repairing an air conditioning system, installing new equipment, or improving indoor air quality.
Because air conditioning systems involve electrical components, refrigerant systems, ductwork, and specialized equipment, clearly defined service agreements help protect both the customer and our technicians while ensuring professional service delivery.
The following terms explain how HVAC services are scheduled, performed, billed, and supported after completion.
SECTION 1 – SCOPE OF HVAC SERVICES
1.1 Description of Services

- Ductwork repair and ductwork replacement.
- Air scrubber installation.
- Duct cleaning services.
- Dehumidifier installation and replacement.
- UV light installation for HVAC systems.
1.2 Estimates and System Evaluations
Estimates are prepared based on the visible condition of HVAC equipment and property access at the time of inspection. System performance, equipment age, ductwork condition, electrical components, and airflow may all be evaluated when determining the recommended service approach.
If previously hidden conditions are discovered during service, such as damaged components, unsafe wiring, restricted ductwork, or additional system failures, the scope of work may require adjustment. In such situations, Comfortly Air Conditioning will communicate with the customer before performing additional work whenever possible.
1.3 Services Not Included
- Structural modifications to buildings or framing.
- Electrical upgrades outside of HVAC equipment requirements.
- Home insulation work.
- Extensive drywall or ceiling repairs.

- Any work outside the agreed service scope must be approved separately.
SECTION 2 – SERVICE SCHEDULING AND OPERATIONS
2.1 Appointment Scheduling
Once an estimate or service proposal has been approved, Comfortly Air Conditioning will coordinate scheduling based on technician availability, service demand, and project requirements.
While we offer 24/7 emergency air conditioning services, appointment times may vary depending on seasonal demand, system complexity, and emergency call volume.
Scheduled service dates may be adjusted due to weather conditions, supply chain delays, equipment availability, or other operational factors common within HVAC service operations.
2.2 Access to HVAC Equipment
Customers agree to provide safe and reasonable access to HVAC equipment and work areas. This may include providing access to:
- Indoor air handlers or furnaces.
- Outdoor condenser units.
- Attics, crawlspaces, or mechanical closets.
- Electrical panels related to HVAC equipment.
Customers may be asked to clear stored items near service areas to allow technicians to work safely. Restricted access or unsafe conditions may delay or prevent service completion.
2.3 Emergency Service Operations
Comfortly Air Conditioning provides emergency HVAC services when technicians are available outside standard operating hours.
Emergency service calls may involve additional service charges due to after-hours labor, urgent dispatch, or holiday service requests.
Customers will be informed of applicable service fees whenever possible before technician dispatch.
SECTION 3 – EQUIPMENT INSTALLATION AND SYSTEM PERFORMANCE
3.1 HVAC System Installation
Air conditioning installations and system replacements involve specialized equipment, refrigerant handling, electrical connections, and duct integration.
Comfortly Air Conditioning determines the proper installation method based on property layout, system capacity requirements, airflow considerations, and manufacturer specifications.
Installation timelines may vary depending on equipment availability and site conditions.
3.2 Existing System Conditions
HVAC systems often involve interconnected components such as ductwork, thermostats, electrical systems, and ventilation pathways.
Comfortly Air Conditioning is not responsible for performance limitations caused by existing property conditions, including:
- Improperly sized duct systems.
- Insufficient insulation.
- Electrical limitations.
- Pre-existing structural restrictions.
- Previously installed equipment defects.
Technicians may recommend system improvements when these conditions affect HVAC performance.
3.3 Indoor Air Quality Equipment
Indoor air quality equipment, such as air scrubbers, UV lights, and dehumidifiers, is designed to improve air quality conditions within the home.
Performance results may vary depending on home layout, ventilation conditions, and environmental factors.
Comfortly Air Conditioning installs these systems according to manufacturer specifications, but cannot guarantee specific health or environmental outcomes.
SECTION 4 – PAYMENT TERMS
4.1 Service Payments
- Upon completion of repair services.
- According to milestone payments for installations.
- Following the completion of larger system replacements.
4.2 Deposits for Equipment Installation
For larger HVAC installations or system replacements, a deposit may be required prior to scheduling equipment delivery and installation.
The remaining balance will typically be due upon completion of the project unless otherwise agreed in writing.
4.3 Additional Work
If additional repairs or adjustments become necessary during service, Comfortly Air Conditioning will communicate with the customer before proceeding with work outside the original estimate whenever possible.
Approved additional services may appear as updated charges on the final invoice.
SECTION 5 – PROPERTY PROTECTION AND LIABILITY
5.1 Service Safety
HVAC service work may involve ladders, tools, refrigerant systems, electrical components, and heavy equipment.
Our technicians follow professional safety procedures to protect both the property and all individuals present during service.
5.2 Property Protection
Comfortly Air Conditioning takes reasonable precautions to protect surrounding surfaces, landscaping, and property features while performing HVAC service.
In the unlikely event that damage occurs directly due to service activities, we will work with the customer to address the situation responsibly.
5.3 Pre-Existing Conditions
Comfortly Air Conditioning cannot be held responsible for issues resulting from pre-existing conditions, such as:
- Previously damaged ductwork.
- Aging or failing HVAC systems.
- Hidden electrical hazards.
- Structural limitations affecting installation.
Technicians may identify such conditions during service and will notify the customer when they are discovered.

HVAC equipment installed by Comfortly Air Conditioning may carry manufacturer warranties covering parts and components.
Warranty coverage is determined by the equipment manufacturer and may require proper registration and routine maintenance.

Workmanship warranties may apply to certain services depending on the scope of work provided.

SECTION 7 – CUSTOMER RESPONSIBILITIES

These terms support safe HVAC operations, clear communication, and the professional service standards that Comfortly Air Conditioning brings to every project.
